Managing your clinic's appointment slots
From Calendar, you can manage slots for appointments in your clinic.
Depending on your permissions, you can perform bulk actions for appointment slots from Outpatients > Manage > Clinic Slots. For example, blocking and cancelling multiple slots.

Managing your clinic's appointment slots on a desktop

From Outpatients > Calendar > , select a clinic and a day to view.

Select the name of the clinic resource you want to add slots to.

Select Add slots.

Enter when the new slots begin.

Enter a duration of each slot in minutes.

Enter the number of slots you want to add.

Select how appointments in the new slots can be delivered.
For example, face-to-face or remote.

Select a reporting category.
This explains why you are adding the slots.
For example, additional capacity.

Select a service.
To add more than one service, select + then a service.
The service determines the type of appointment you can book in the slots. For example, an initial appointment or follow-up appointment.

Select Add.
A list of the slots you are going to create appears. Select a folder to expand the folder.

Select Apply.
The slots appear in the calendar. Mouseover a slot to check the slot's details are correct.

To temporarily prevent users from booking an appointment in a specific slot, you can block the slot. For example, you might block a slots to reserve it for a specific patient.

From Outpatients > Calendar > , select a clinic and a day to view.

Right-click on an appointment slot.

Select Block Clinic Slots.

Select a reason for blocking the slot.
The reasons available to you depend on your organisation.

Enter any notes.

Select Confirm.
appears next to the slot. Mouseover the slot to see the reason the slot was blocked.

From Outpatients > Calendar > , select a clinic and a day to view.

Right-click on a blocked appointment slot.

Select Unblock Clinic Slots.

Select a reason for unblocking the slot.
The reasons available to you depend on your organisation.

Enter any notes.

Select Confirm.

To prevent users from booking an appointment in a specific slot, you can cancel the slot. You might cancel a slot if their is a shortage of staff at that time.

From Outpatients > Calendar > , select a clinic and a day to view.

Right-click on an appointment slot.

Select Cancel Selected Slots.

Select a reason for cancelling the slot.
The reasons available to you depend on your organisation.

Enter any notes.

Select Confirm.

From Outpatients > Calendar > , select a clinic and a day to view.

Right-click on a cancelled appointment slot.

Select Reinstate Cancelled Slots.

Select a reason for reinstating the slot.
The reasons available to you depend on your organisation.

Enter any notes.

Select Confirm.

Right-click on an appointment slot.

Select Add Service to Slots.

Select a service.

Select Remove Service from Slots.

Select a service.

Right-click on an appointment slot.

Select Show Services for Slot.
Services highlighted in green are services users can book.
Services highlighted in grey are services users can’t book.

From Outpatients > Calendar > , select a clinic and a day to view.

Right-click on an appointment slot.

Select Change slot priority.
-
Select the new priority for the slot.
You can only book appointments into the slot with this priority or higher.

Select a reason for changing the slot's priority.

Enter any notes.
-
Select Confirm.
Mouseover the slot to see the slot's priority.

From Outpatients > Calendar > , select a clinic and a day to view.

Right-click on an appointment slot.

Select Change slot delivery.
-
Select the new delivery method for the slot.
For example, face-to-face or remote.
You can only book appointments into the slot that have a suitable delivery method.
For example, if you choose remote, you can only book appointments where the delivery method is telephone or video consultation.

Select a reason for changing the slot's delivery method.
-
Enter any notes.

Select Confirm.
Mouseover the slot to see the slot's delivery method.
